Property Coordinator shall be responsible for assisting the Asset Manager on a day to day basis with all aspects of property management. General responsibilities are noted below.
General duties and responsibilities will be to assist the Senior Asset Manager with monthly walk through and follow up requests and in coordinating all tenant and property events, maintain tenant contact and emergency contact lists for distribution to staff, set up and maintain an organized file system (tenant, vendor, subject, project and invoices), maintain vendor contact and emergency contact list, maintain a contract service vendor log containing contract amounts and commencement and expiration of services being performed, answer tenant service calls and process work orders through AMMS, track daily work order(s) and follow up with tenants upon completion, handle all Billing Requests and Lease Change Notices to accounting, maintain building lock and key records, maintain building key card entry system and process key card requests, maintain insurance binders for tenants and vendors to insure that all requirements are being met, update floor plated for all buildings, prepare meeting minutes for all staff and engineering meetings and prepare overnight packages as necessary. Responsibilities will also include weekly vendor invoice routing/approval process, assist with compilation of information as needed and to track insurance for Tenants and Vendors.
Requirements: Minimum of 3-5 years working in a professional office environment and 3 years working in a commercial real estate environment preferred: accounting experience required. Must be self-motivated and possess excellent phone etiquette, convey a highly professional manner and must be highly organized, solid understanding of office procedures, 60 wpm, excellent spelling and grammar, highly computer literate with MS Word and MS Excel and good math skills are essential.
